Timekeeping
Control or trust – business leaders often divide the approach to accounting for working hours into black and white. Both are unsatisfactory. Strict control heats the atmosphere in the team, but it is impossible to do without it at all. There is an option – loyal monitoring of personnel employment, where there is a place for a fair assessment, motivation, and the personal life of subordinates is not affected, as well as betting casino online is allowed.
Features of accounting for working hours
Accounting for working hours is based on the company’s operating mode, which depends on the specific needs of the enterprise. To conduct effective monitoring, it is necessary to establish standards for each position, including working hours, the number and duration of breaks, and the possibility of reducing working hours under specific circumstances. Only in this case will the accounting of working hours be useful and act as an objective indicator of the employee’s performance and responsibility.
The manager has the right to decide independently how to organize the accounting of working hours. The legislation leaves this issue open. The choice of the accounting method depends on the specifics of the personnel’s work and what goals the company’s management pursues, what resources it has, and how much it is willing to spend so that monitoring is an effective working tool in motivating and increasing the productivity of personnel.
Methods of accounting for employees’ working hours
If there are established limits, it is not difficult to find out how well an employee complies with them. Accounting for working hours has been used for centuries, improving tools and approaches day by day. In Russia today, the most commonly used methods are:
- Accounting journal. This is the simplest and least expensive way to account for working hours. It can be organized in two ways. If you completely entrust the filling of the journal to employees, that is, everyone makes a time mark when they come and go, then the costs are reduced to buying a paper book. If you equip the journal with a special person, for example, a security guard, then you will have to spend money on paying for an additional staff unit. In general, the method allows you to control the arrival and departure of employees, does not guarantee the accuracy of the information, since the veracity of the records remains on the conscience of the employees themselves or the security guard, with whom any specialist can establish friendly relations;
- This method includes a share of automation – as a rule, the time of passing through the turnstile is recorded in the system as the beginning of the working day after presenting a pass to the terminal. This can be a card, bracelet, or similar device. But everything that can be transferred can be attached without the owner’s participation. “Swiping” two cards – for yourself and a colleague – is not an uncommon occurrence. Therefore, most often the turnstile becomes part of the checkpoint, where there is always a security guard or the same doorman. For additional control. However, human relationships also take place here. This method of accounting for working hours will cost at least the cost of installing equipment and a program for reading cards, at most, with the addition of payment for the work of the security guard/doorman to this cost.
- biometric systems. In essence, this is the same turnstile that records the time of arrival and departure, only the individual characteristics of the employee are used as a pass. The most common and simple option is a fingerprint. This solves the issue of attaching passes for two/three people. The cost of the equipment is higher than a regular turnstile, but the functionality is almost the same.
- access control and management systems. This is also more of a version of the turnstile system. From a technical point of view, it can be organized using cards or biometrics. The main difference is that the system works not only at the entrance to the enterprise. Electronic locks are installed on the doors of key rooms and inside the office, and employees receive different rights to visit them. The key of one specialist can open more doors than the key of another. The method allows you to make notes on movements within the company; accordingly, it gives you an idea, albeit a very general one, about the work during the day. The price of the issue is significantly higher than the previous methods and depends on the number of internal rooms that require the installation of locks.
- time trackers. This is a slightly different category of methods for recording working hours. This is a software tool that is quite easy to use. The program is installed on the staff’s work computers. At the beginning of the work, the employee must press the start button, and at the end, stop the tracker. The manager can see how much time was spent on a specific task. But, as often happens, the data may not correspond to reality, since the staff may forget to turn on / off the program; automatic systems for accounting and monitoring of working time. This is perhaps the most modern and, according to users of such systems, the most convenient way of accounting. Such software tools work completely independently, without forcing employees to remember the need to turn on the time counter, and the manager to analyze the received data later.
